Announcing the ONE Record Pilot Program
The moving industry’s digital transformation journey had a slow start, but the pandemic accelerated the adoption of digital solutions like video surveys, digital packing lists, online pricing, and paperless offices. Despite remarkable transformations by some companies, the extent of adoption remains far from complete. IAM strongly recommends its members to enhance their digital capabilities by adopting proven solutions from innovative and experienced IAM technology suppliers.
However, the digital transformation of individual movers is not enough to achieve industry-wide digitalization. Given moving services’ interconnected and reciprocal nature, efficiently and securely exchanging sensitive data is crucial. One of IAM’s strategic initiatives is to enable this interconnected future by facilitating data exchange. Creating data standards and protocols for data exchange requires collaboration, coordination, and an innovative mindset. To achieve this, IAM established the Data Solutions Initiative and taskforce. Over the last six months, this group has laid the foundation for a digital common language (a data model) and explored frameworks tested in similar industries.
The ONE Record standard, created by the International Air Transport Association (IATA), appears promising, as it includes a robust security framework to control and protect private and confidential data. The early adoption of ONE Record in the air freight industry proves its effectiveness, with major airlines committed to full compliance by January 2026.

The IAM Data Solutions taskforce has been collaborating with IATA to learn from their experiences and adapt the standard to the moving industry. Introductory sessions and materials have already been shared with our members.
Now, it’s time to put ONE Record to the test.
IAM is launching the ONE Record Pilot Program, a collective effort to showcase the benefits of the ONE Record framework and help shape the future of the moving industry. This pilot program is designed to test the interoperability of the ONE Record standard, identify implementation challenges, and gather valuable feedback from participants.

Pilot Scope: Shipment Milestones

Today, milestone data (e.g., “Packed” or “Delivered”) is shared via email or manually input into systems, creating an unnecessary burden. A successful pilot would automate the exchange of milestones, saving time, avoiding mistakes, and improving customer service.
Exchanging shipment milestones or events has been the preferred starting point for airlines as well, as it’s the most practical and low-risk way to test ONE Record in a case that adds value. Expanding the scope of data sharing is easier after understanding how it works and how data is securely exchanged at all times.
Pilot Goals and Metrics
The pilot is designed to simulate real-world operations involving a Booker (who owns the shipment file) and their partners, including Origin, Forwarding, and Destination Agents.
Specifically, the Booker is interested in receiving milestone updates from partners, like Origin, Forwarding, and Destination Agents, and then officially notifying other interested parties, e.g. the Corporate Account or Transferee.
Success Outcome: Exchange at least one shipment tracking event between bookers and agents
via ONE Record.

- Data Security: Enhanced security and privacy of shared data, as evidenced by participant feedback.
- Integration and Usability: Ease of integrating ONE Record into existing systems and the effectiveness of support materials and sessions.

- Potential for Scale: Willingness and readiness of participants to adopt ONE Record more broadly based on pilot experiences.

Participation in the pilot offers a low-risk opportunity to influence the development and refinement of the ONE Record standard while realizing the benefits of exchanging data. The pilot’s feedback and experiences will help shape its direction.

- Operational Efficiencies: Automatic and timely updates of shipment milestones reduce manual data entry and the likelihood of errors. This streamlines operations, saving time and resources that can be allocated to other value-adding activities
- Learning Curve Advantage: Early participation provides an advantage in understanding and implementing ONE Record standards. This early experience will be invaluable as the industry moves toward broader adoption, positioning pilot participants ahead of the curve.
- Industry Leadership and Recognition: Companies demonstrate leadership and innovation by being among the first to adopt and successfully implement ONE Record. IAM will showcase pilots at the next conference in Las Vegas in October 2024, and there will be plenty of opportunities to recognize our pioneers.
Expected Resources and Commitment
- Collaboration and Communication: Participate in all pilot-related activities, such as data entry, milestone tracking, regular check-ins, and feedback sessions. Engage in open and ongoing communication within your team and with other pilot participants. Sharing insights and challenges is crucial for the pilot’s collective success.
- Time Investment: Participants should expect to dedicate approximately 1 week of fulltime work for movers and 2 weeks for technology vendors or movers with in-house technology solutions. The exact commitment may vary based on the scope of your pilot project and the level of integration required.
- Computing Resources: Participation in the pilot implies computing resources to run a copy of the ONE Record Server. These costs could be associated with directly managing necessary computing infrastructure or through a technology provider.
- Future Readiness: Be prepared to continue your data-sharing journey post-pilot. This includes being open to further collaboration, expanding the scope of data sharing, and advocating for digital standards within the logistics industry.
Who Should Apply
We encourage participants to form teams with their existing business partners to maximize the pilot program’s effectiveness and simulate a realistic operational environment. This collaborative approach will allow assessing the ONE Record framework’s impact across different logistics and supply chain stages.
Companies can also apply individually. IAM will facilitate matching with other interested companies.
- Led by RMC/Movers: Each team should consist of 2 to 4 companies that regularly conduct business together, including roles such as bookers, origin agents, forwarding agents, and destination agents. This will ensure a wide range of data sharing and communication flows are tested.
- Their Tech Providers: If applicable, Tech Providers will deploy ONE Record Servers on behalf of their clients and build the custom integration between their software and ONE Record.
- Commitment to Collaboration and Innovation: Demonstrate a shared commitment to exploring and implementing digital transformation solutions within their operations. This includes a willingness to adapt and provide constructive feedback throughout the pilot program.
